Heat Pump Installation Process
Switching to a renewable heating system needn’t be a headache. We’ve spent over a decade perfecting our process to make your journey as smooth, transparent and rewarding as possible. From the first site survey to system sign-off, we handle everything in-house, so you get expert guidance, high-quality workmanship and long-term peace of mind.
1. Free Site Survey and Expert Consultation
Every successful installation starts with understanding your needs. We begin by arranging a phone call to learn more about your goals, your current heating system, and what you expect from the installation and design process. We’ll also talk through the Boiler Upgrade Scheme, explaining how it works and what’s needed to qualify.
This is your opportunity to ask questions about heat pump technology, the design process or how we work at Green Flare. During this stage – whether over the phone or by email – we’ll also request any floor plans or building drawings you have for the property. These allow us to begin a heat loss calculation, which is vital for accurate system sizing.
An up-to-date EPC (Energy Performance Certificate) is also important. It helps us understand your building’s thermal performance and is a requirement for accessing the Boiler Upgrade Scheme.
We’ll listen carefully to your objectives – whether it’s reducing carbon emissions, increasing energy efficiency, or cutting bills – and give you honest advice on what’s viable, what’s not and what will deliver the best results.

2. Design, Selection and Cost
Once we’ve gathered the relevant information and gained a clear understanding of your goals, we can arrange a refundable site visit to carry out a detailed heat loss report. This report is essential for accurate system design and includes a room-by-room breakdown of your heating requirements, a radiator or underfloor heating layout and specification, and a recommended heat pump system capable of covering the full heating and hot water load of your home.
We also include estimated running costs and performance comparisons against your current heating setup – so you can make an informed decision.
The cost of this design work is fully deductible from your final invoice if you proceed with installation.
Once complete, we’ll provide a full quotation covering:
-
Hardware and components
-
Installation costs
-
Optional upgrades
-
Grant and incentive applications (e.g. Boiler Upgrade Scheme)
There are no hidden fees or surprises – just a clear, honest assessment of what it takes to transform your heating system.
3. Installation
Once approved, we schedule your installation with minimal disruption. Most systems are installed within five to seven working days, depending on complexity.
All installations are carried out by our in-house team of fully qualified engineers. We handle every detail, from pipework to controls integration, and ensure your property is respected and left clean and tidy throughout.
During the install, we also manage all relevant applications and notify your Distribution Network Operator (DNO), ensuring your system is fully compliant and future-ready.

4. Commissioning, Certification, and Handover
When your system is installed, our engineers will thoroughly commission it, checking that everything is working efficiently and safely.
We’ll also:
-
Walk you through how to operate your heat pump
-
Explain features like timers, smart controls, and efficiency settings
-
Provide all key documentation, including:
-
MCS Certification
-
DNO notification
-
User manuals
-
Warranty information
-
If you’ve opted into the Boiler Upgrade Scheme, we’ll also confirm your successful grant allocation and ensure you receive the funds promptly.
